✦ B2B Onboarding
Shopify B2B Customer Onboarding
Every wholesale account starts with an application. Most Shopify merchants handle it with an email address and a person retyping details into the admin — which is exactly where new trade customers go cold.
Capabilities
From application to first order
The onboarding path has four jobs, and manual processes drop at least two.
Storefront Application Forms
A real application page on your site capturing business name, tax ID, resale certificate, trade references, and document uploads — not a contact form.
Review & Verification
A queue where applications are approved, rejected, or sent back for more information, with the evidence attached to the record.
Automatic Account Creation
On approval, the company, location, and contact are created and the catalog and payment terms applied, without anyone retyping the form.
Buyer Communication
Acknowledgement, approval, and rejection messaging so applicants know where they stand instead of wondering whether the form worked.
Application Data Capture
Custom fields saved as structured company data, so what you asked at signup is still usable a year later.
Access Before Approval
Control what an unapproved visitor can see while keeping the application itself public and findable.
Why onboarding is the weak point
Shopify B2B is good at serving an approved customer and does almost nothing to help you create one. Natively, a company is made by hand in the admin. Someone reads an email, opens Shopify, creates the company, adds the location, adds the contact, picks the catalog, sets the payment terms, and writes back. It works, and it costs you a day or two per account plus the accounts you lose while they wait.
The cost is not only time. Manual setup is where inconsistency enters: one rep assigns a catalog, another forgets; tax IDs get recorded in the notes field; two branches of the same customer become two unrelated companies. Six months later your reporting is unreliable and nobody knows why.
What a working onboarding flow looks like
- A findable application page that ranks and can be linked from sales conversations
- A form that asks for what you actually need to make an approval decision
- Verification of the things that matter — tax registration, resale certificates, trade references
- A review step that approves a company before it can reach your wholesale storefront and checkout
- Automatic creation of the company, location, and contact on approval
- The right catalog and payment terms applied without a human choosing them each time
- Clear messaging to the applicant at every step
Building it
There are two routes. Custom development gives you exactly the flow you want and means you own the maintenance. An app gets you most of the way immediately. Onboard B2B is the one we most often assess for this: its documented feature set covers a custom wholesale application built with a form builder, collecting the exact company information you need through custom fields and syncing it to Shopify as Company metafields, and a company account approval step that gates access to your wholesale storefront and checkout.
It also documents approval presets that set catalogs, payment terms, and tax settings for different company groups, a self-management portal for Location Admins, unlimited CSV bulk import, and access control through Storefront and Checkout Locks. Where an app covers the standard path, we implement and customize it and build only the parts specific to your business. See approval workflows for how the review side is structured.
Approval is what unlocks access
It is worth being precise about what approval actually does. Approving a company is not just an administrative status change — it is the moment the business is granted access to your wholesale storefront and checkout, with its catalog, payment terms, and tax settings applied. That is why the approval step and the access rules have to be designed together rather than bolted to each other afterwards. See B2B access control.
Onboarding is a conversion problem
A wholesale application is a high-intent action by a buyer who has already decided to consider you. Treating it as an admin task rather than a conversion step is why so many B2B funnels leak. The measurable wins are usually unglamorous: fewer form fields, a clear statement of what happens next and how long it takes, and approval that lands the same day rather than the same week.

Common questions
No. Shopify B2B does not ship a storefront application form — companies are created manually in the admin by default. An application and approval flow is either custom-built or added with an app.
With an automated flow, as fast as you can review the application — often the same day. The delay in most manual setups is not the decision, it is the queue of retyping that follows it.
Collecting tax registration and resale certificates at application is standard, and a custom application form can require them as fields or file uploads. Automated checking against a tax authority depends on the tooling you choose; we scope that per project rather than assuming it.
Yes, that is what approval presets are for: a preset ties an approval decision to a catalog, payment terms, and tax settings, so the account is fully configured the moment it is approved.
